Customers have been asking for more in-depth tools to plan and track their financial performance both when working on customer projects or when providing paid support to their end-users. The latest release of OneDesk takes our first step forward in this direction by introducing a new Financials App. This app both centralizes existing financial information as well as adds new functionality to help you manage the costs and revenue you incur when working on projects and tickets.
One View to Centralize your Financial Data
The new Financials app centralizes your revenue (billing amounts) as well as your costs in one place. We have therefore moved existing Costing data previously found under the Tickets, Tasks, Features, and Projects to this new App.
This allows you to provide your team with access to those 4 apps without exposing your financial information to them. Administrators can limit access to the Financials app on the User profile (of non-admins). Simply change the setting for Financials to ‘Limited Access’.
Work, Cost and Revenue data
OneDesk allows you to easily calculate the costs and revenue for the work you do.
- Plan your Costs carefully by summing up the costs for your planned work for a project.
- Track your Actual Costs as they occur by calculating the costs for each timesheet submitted by your team, whether on a ticket or a project task.
- Compare Planned to Actual costs to see if your project remains on track and to help produce better work estimates for future projects.
- Estimate and plan your billable revenue based on your planned work or best estimate.
- Track your actual billable revenue as your team does the work and compare it to your plans.
- Compare your planned billable revenue with your planned costs, to assist in better quoting your projects and driving consistent profit.
- Use the forecasting calculations for both costs and revenue while in the middle of a project, or task to see if it is trending over or under budget.
Customizable Views, filters, date range, columns
Create and save views of your costs, revenue, work and forecasts, for quickly getting at the information you need with a single click. When creating a view you can specify the following things:
- The columns you would like visible
- Filter down the tickets and tasks to include only those you are interested in.
- Group by Customer, Project, Team, User and more
- Specify the date range to only show the work performed in a specific period.
- Add a column to that shows the difference between any 2 other columns to calculate variances, profit, and compare estimates to planned values.
Calculate Costs your way
OneDesk lets you choose from a wide variety of methods to calculate your costs rates.
- Select the level you wish your Costs to be calculated at, including rates by team-hour, user-hour, project-hour, and much more.
- For your costs you can specify flat rates, hourly rates, minimum monthly rates, plus cost for overage, and more.
Flexible Billing Calculations
OneDesk lets you choose from a wide variety of methods to calculate your billing rates.
- Select the level you wish your Billable Revenue to be calculated at, including rates by customer-hour, team-hour, project-hour, item-type, project-type, and much more.
- For your billable amounts you can specify flat rates, hourly rates, minimum monthly rates, plus cost for overage, and more.
