At OneDesk, we recognize that each of our customers has unique needs when it comes to managing their Projects. You might be thinking that the Helpdesk features are all you need, and wonder why you should bother with Projects.

Here’s why: Projects serve as powerful containers that help you organize and share items effectively. They allow you to control visibility, ensuring that only the right users or customers can see the information they need. Even if you’re not planning to dive deep into Project Management, we still recommend using Projects to keep your Tickets organized.

Whether you’re looking for advanced scheduling options like Gantt charts or Calendar views, need to track time and invoicing, or simply want a straightforward way to organize your tasks without the added complexity, OneDesk offers flexibility to suit your needs.

You have full control over how you set up your Project details—just head to the Project settings in the Administration panel to customize your workflow. To make things even easier, we’ve redesigned the Project detail panel to be more intuitive, ensuring a smoother and more efficient user experience.

1 – Members Tab

We’ve made it easier to manage Project followers in OneDesk! Now, you’ll find user and customer followers on the right side of the Project detail panel. From here, you can add members—whether individual users or entire teams—to follow the project, as well as add customer followers. Managing followers is simple: you can quickly add or remove users, and even adjust their roles directly from this panel, giving you full control over who stays updated on your project’s progress.

2 – Project work/invoicing panel and Items KPI

We’ve made it easier to manage key Project details. Your Planned Schedule, Billable Hours, Invoicing Method, and Item Links now have their own distinct panels. You can customize these panels or remove them entirely, all through the Project settings in the Administration section. This gives you greater flexibility to tailor your Project setup to your specific needs.

3 – Unschedule your Projects

You can now remove the schedule for Projects (and Tasks), marking them as Unscheduled. This feature allows you to effectively manage urgent or impromptu Projects that don’t require a set timeline, while still keeping your scheduled Projects organized and on track.

4 – Easily Identify Project Templates

Now when you designate a Project as a template (4), the icon will automatically update to the default Template icon (5). This way you’ll be able to determine which Projects in your OneDesk are templates at a glance.

Portfolios

Want to make the most of your Portfolios? You can now add or remove Items and Timesheet KPIs, as well as include a description to give your portfolios more context. Easily track the number of Projects and Items within your Portfolio, and stay on top of your Billable, Invoiced, and Approved Timesheets.

Additionally, you can control the visibility of your Portfolio, choosing whether it’s accessible to everyone or only to the author and Project followers. This ensures that you have full control over whether users can see empty Portfolios that don’t yet contain any Projects they’re following.
